The SME AI
Quick-Win Playbook

Five workflows you can test with your team. Start with one, measure the work and keep the useful parts.

Before You Begin

Choose an approved business workspace and agree what information can be used. For your first test, use fictional or non-sensitive examples. Keep a person responsible for checking the output. AI can make confident mistakes.

1 / Client Follow-Ups

Use a non-sensitive meeting summary. Ask for a concise email in your tone and check every commitment before sending.

Adapt This Prompt

Using only the notes below, draft a client follow-up under 180 words. Include decisions, actions and dates explicitly stated. Flag missing owners or dates. Do not invent promises. Use a friendly, professional UK business tone. Notes: [paste approved notes]

Measure This

Time from notes to a checked email.

2 / Meeting Notes To Action Lists

Start with approved notes from one recurring internal meeting.

Adapt This Prompt

Turn these notes into a table with action, owner, due date and open question. Use “not specified” for missing information. Separate decisions from suggestions. Do not infer agreement. Notes: [paste approved notes]

Measure This

Time to produce an accurate action list; count missed or invented actions.

3 / Proposal First Drafts

Supply an approved brief, a suitable template and verified facts about your service.

Adapt This Prompt

Draft a proposal outline using this brief and template. Use only the supplied facts. Mark missing scope, prices and dates as [TO CONFIRM]. Include assumptions and questions for the client. Do not invent certifications, experience or results. Brief: [insert] Template: [insert] Facts: [insert]

Measure This

Time to a usable draft, including fact-checking and revisions.

4 / Turn Expertise Into Useful Content

Use your own approved notes about a real customer question.

Adapt This Prompt

Create a 150-word LinkedIn post for UK SME owners from the notes below. Open with their practical problem, explain one useful action and finish with a relevant question. Keep the language plain. Do not add statistics, testimonials or results. Notes: [insert]

Measure This

Total drafting and editing time; whether the final content is useful and accurate.

5 / Find Answers In Company Guidance

Use a current, approved policy or procedure and remove unnecessary personal details.

Adapt This Prompt

Answer the question using only the document below. Identify the relevant section and quote the supporting sentence. If the answer is absent or ambiguous, say so and list what needs checking. Do not provide a legal or safety conclusion. Question: [insert] Document: [insert]

Measure This

Time to locate a verified answer; check that the cited section supports it.

Your Seven-Day Test

  1. Choose one repetitive task, one owner and three representative examples.
  2. Record how long the task takes today, including review.
  3. Try the prompt on an approved example. Note mistakes and missing context.
  4. Improve the instructions, then repeat across several real tasks.
  5. Review after a week: minutes saved, quality, corrections and whether people used it.

Make The Numbers Useful

Time recovered per task = your old total time minus your new total time, including checking. Multiply that by the number of tasks actually completed. Keep implementation and software costs separate. Recovered capacity becomes a financial benefit only when you can put that time to productive use or reduce real costs.
